Who is Roots of Love
Roots of Love is a community-based organization in Ontario, focused on youth care and development. It operates a Children’s Residence that provides a safe, structured home and support for children to heal, grow, and thrive!
Their programs include trauma-informed healing and counseling, education and academic support, life-skills training, mentorship, recreation and arts, family reconnection, and transition support after residence.

Our Approach
After discussions with their CEO on the best approach, we ended up running a focused discovery with program leads and compliance staff, then performed a line-by-line gap analysis against current provincial standards and funder guidance.
From there, we mapped required controls to daily practice, standardized residential care documentation architecture based on existing drafts alongside writing manuals from scratch, and implemented clear version control and ownership.
In parallel, we structured a practical business plan, grounded in service model, staffing, and cost assumptions, with a specific aim to grow the Children’s Residence by acquiring a bigger space, such as a warehouse or farmhouse. This included capacity scenarios, licensing considerations, phased hiring, and cash-flow planning tied to realistic intake assumptions.
The Solution
Group Home P&P Manual (Regulatory Update): consolidated, cross-referenced policies; intake/discharge and care-planning workflows; medication administration and incident reporting; emergency preparedness; privacy and records; staff roles; training matrix; and a change log for audits.
Adult Care P&P Manual (New): person-centred care protocols, health & safety routines, infection prevention, service eligibility and transitions, supervision standards, and quality indicators tied to daily checklists.
Business Plan: a lender- and ministry-ready plan focused on expanding the children’s group home. Included capacity expansion scenarios (beds and staffing ratios), facility roadmap (optimize current site vs. staged expansion), licensing and compliance impacts, recruitment and training plan, 12-month operating budget with sensitivity tests, funding strategy (cash-flow timing, reserves), and a phased implementation timeline.
The Results
Just shortly after a month of working with us, Roots of Love now has a single source of truth for policy, procedure, and forms! Onboarding is smoother because training, checklists, and logs follow the same structure across programs.
Managers have a clear budget and hiring plan tied to capacity, and the organization is better positioned for inspections, lender reviews, and funder due diligence. Most importantly, future updates are faster due to version control, a defined review cycle, and embedded cross-references.
