Who is Resilient Hearts
Resilient Hearts is a Calgary-based community organization that equips young adults with developmental disabilities for independent living through life-skills programs, respite services, and a growing virtual platform. Founded in 2023, the team’s mission centers on practical skills, confidence, and community inclusion.
The Challenge
Resilient Hearts needed a single, clear Policies & Procedures (P&P) Manual that matches day-to-day practice, supports staff training, and aligns with program requirements and community standards. Existing guidance lived across files and formats, making onboarding and quality checks slower than they should be.
Our Approach
We ran a short discovery with their founder to map how services actually run (life-skills sessions, respite routines, safety practices, community organization documentation). Then we completed a gap analysis against current expectations for privacy, health & safety, incident reporting, supervision, and record-keeping. We standardized terms, forms, and step sequences, and set document ownership and a simple update cadence.
The Solution
Task pages that fit on one screen or one sheet (purpose → when → who → steps → result).
Point-of-use checklists for session setup, medication handling, and incidents, plus pre-filled examples so staff see what “good” looks like.
Plain-language forms in a single pack, same names across files, with version tags and a change log.
Quick “train-the-trainer” notes at the top of each section for onboarding.
The Results
Staff now follow one source of truth. Onboarding is faster because policies, procedures, and forms use the same structure. Supervisors can observe and coach against clear steps, and audits are easier since logs, checklists, and reports tie back to the right policies. Most importantly, community organization documentation supports the mission: it helps the team deliver consistent, independent-living skills, and not just pass reviews!
