Who is A Better Tomorrow Services
A Better Tomorrow Services, Inc. is a 501(c)(3) community organization and licensed Private Occupational School in Malden, Massachusetts. They offer Department of Public Health–approved Nurse Aide Training (NAT) and Home Health Aide (HHA) programs, alongside ESOL classes, workforce development, computer literacy, civic and citizenship support, and a community food pantry.

The Challenge
ABT needed a single, practical Policies & Procedures (P&P) manual that accurately reflected how programs were actually run, including recruitment, screening, placements, day-to-day supervision, safety, and incident handling, so staff and volunteers wouldn’t have to rely on memory or scattered files. They also lacked a clear web “front door” for participants, parents, and donors, making it harder to communicate programs and collect inquiries.
Our Approach
Our Chief Operations Officer (COO) had 4 sessions with their CEO. Together, we managed to map the five-week cycle end-to-end and observed where staff paused to look for forms or confirm steps. We converted those routines into short task pages (purpose → when → who → steps → result) and standardized forms and names so everything matched across the manual.
Once the nonprofit documentation was locked, we carried the same plain-language structure onto the website, through information architecture, calls-to-action, and a simple launch page, so the public-facing message lined up with the way the team works.
The Solution
P&P Manual (Program Operations): recruitment and eligibility, background checks and onboarding, placement agreements, session delivery, attendance and supervision, transportation and off-site activities, safety and incident reporting, privacy and records, volunteer coordination, QA/continuous improvement, and a change log with version tags.
Templates & Forms Pack: intake, consent, placement checklist, incident form with examples, weekly progress log, evaluation rubrics, and a monthly summary template for board/funders.
Website Design & Build: streamlined site structure, program pages, inquiry/volunteer CTAs, and a launch page so ABT could begin capturing interest while fuller content is phased in at abtservices.org.
The Results
Clarity became lift. Staff and volunteers now run programs from one playbook, not from memory; new hires finish their first week with fewer questions; and incidents are handled the same way every time.
Externally, the website gives ABT a credible front door; participants can find the program, partners know how to help, and donors see a clear path to get involved. The paperwork stopped being a hurdle and started opening doors.
